Accounting

Funeral home accounting, built into every case

A full double-entry ledger inside MortemCare. Every invoice, payment, deposit and expense from your case work posts itself, so your books are current the moment the work is done, not at the end of the month.

  • Balanced journals, automatically
  • Bank reconciliation
  • PDF & Excel reports

How money flows

Do the case work. The books follow.

Your team never re-keys a figure. The invoice you raise on a case and the payment a family makes against it become balanced journal entries on their own, in the accounts you chose.

  1. 01

    Case

Services and merchandise are added to the case as arrangements are made.

  2. 02

    Invoice

Issuing the invoice posts revenue and what the family owes you.

  3. 03

    Payment

Each deposit or part payment lands in the bank account it was paid into.

  4. 04

    Ledger

A balanced journal, linked back to its source, ready for your reports.

  • Revenue mappings. Choose which income account each service or package posts to. Anything unmapped falls back to Sales.
  • Deposits before invoicing. Money taken up front is held for the family and applied to the invoice later.
  • Clean corrections. Credit notes, refunds and write-offs post their own journals. The original invoice stays intact.

Everyday bookkeeping

Money in, money out, and the bank that proves it

The day-to-day finance work of a funeral home, in the same place your team already manages cases.

01 Money in

Every family payment lands in the right account

  • Invoice paymentsPart payments and instalments recorded on the case, into the bank or cash account they were paid into.
  • Customer depositsHold money received up front and apply it to invoices when they are issued.
  • Credit notes, refunds and write-offsCorrect an invoice without editing it. Voids reverse the journal and stay on record.

02 Money out

Supplier bills and staff spending, approved before they post

  • BillsRecord supplier bills as drafts, approve them, then pay in full or in parts. Purchase credit notes handle returns.
  • Expense claimsStaff capture a receipt, a manager reviews it, and you track it through to reimbursement.
  • Cash advancesIssue cash for a job and retire it later with receipts or returned cash.
  • Tax paymentsSee the VAT and withholding tax you owe and record each payment to the tax authority.

03 Banking & reconciliation

Match the bank statement to the books, line by line

  • Bank and petty cash accountsOne register per account, with transfers between them and a live ledger balance.
  • Statement importUpload a CSV statement and map its columns. Importing the same file twice creates no duplicates.
  • Suggested matchesEach line comes with likely matches to confirm. Bank charges and other unmatched lines can be coded to an account in place.

Controls & month-end

Close the books with confidence

Month-end is a checklist, not a scramble. MortemCare runs the checks, tells you exactly what is blocking the close, then locks the period so nothing changes behind your back.

  • Month-end checklistReconciliation, draft bills, open expense claims, draft invoices and control accounts, checked in one place.
  • Period lockClosing locks every entry dated in that month. Reopening needs admin rights and a reason on record.
  • An immutable ledger and audit trailPosted journals are never edited or deleted. Every posting, correction, document and person is traceable.
  • Review before postingManual journals can wait as drafts for a second pair of eyes, then be approved or sent back with a note.

Talk to us
Do we still need separate accounting software?

In many cases, no. MortemCare includes a full double-entry ledger with bills, banking, reconciliation, period close and financial reports. If you work with an external accountant, you can give them reports in PDF or Excel, and your team keeps working in one system.

How do invoices and payments get into the books?

Automatically. When you issue an invoice on a case or record a payment against it, MortemCare posts a balanced journal entry. You decide which income account each service or package posts to, and payments go to the bank or cash account they were paid into.

We're switching from another system mid-year. Can we start cleanly?

Yes. You choose a cutover date, then enter your trial balance and the customer invoices and supplier bills still outstanding on that date. MortemCare checks that it balances and posts it as a single conversion journal, without duplicating anything.

How does bank reconciliation work?

You import your bank statement as a CSV file and map its columns. MortemCare suggests likely matches for each line, which you confirm, and lines like bank charges can be coded to an account on the spot. Importing the same file again won't create duplicates.

What happens if someone makes a mistake?

Posted journals are never edited or deleted. Mistakes are corrected with credit notes, voids and reversing entries, and the original stays in the audit trail with who did what and when. Once a month is closed, entries dated in it are locked.

Can we see the numbers for each branch?

Yes. Revenue and expenses are tracked by branch, and reports and the accounting overview can be filtered by company and branch, so you can compare locations or look at the whole business.
