A day in the life

One family, four journeys, every vehicle accounted for

Follow one case from the first call to the graveside. At each step the vehicle is assigned on the case record, so the whole team can see who has what, and nothing is double-booked.

  1. 02:40Day 1

    First call

A call comes in overnight. The case is opened, and the fleet board shows Van 02 is free, so it's assigned to the removal on the spot.

  2. 03:25Day 1

    Removal

Van 02 leaves with two staff. The trip sits on the case with its departure, return and odometer readings, and the deceased is admitted on arrival.

  3. 11:00Day 6

    Service

Hearse 01 and a family car are booked against the case for the service, so nobody promises them to another family that morning.

  4. 13:30Day 6

    Burial

Hearse 01 goes on to the cemetery. When the trip is closed, fuel and mileage are recorded against the vehicle, and it shows as available again.

What's included

Everything it takes to keep the fleet moving

A simple record of every vehicle, what it's doing and what it costs, kept next to the cases it serves instead of in a notebook by the garage door.

01 On the road

A register of every vehicle

Hearses, removal vans and family cars in one list, with registration, type, branch and current status.

Trips linked to cases

Assign a vehicle and driver to a removal, service or burial. The trip is kept on the case, so you know what went where, and when.

Availability at a glance

See what's out, what's booked and what's free before you promise a family a time.

02 Behind the scenes

Fuel and running costs

Log fill-ups, repairs and other expenses against each vehicle, so you can see what each hearse and van really costs to keep on the road.

Service and document reminders

Keep insurance, registration and inspection papers on the vehicle, and see what's coming due before it catches you out.

Generators & diesel

Keep the cold rooms cold

When the mains power drops, the generator carries your cold rooms. MortemCare keeps a daily log of every generator run at every branch, so you always know how much diesel is in the tank, how fast it's going and what it's costing you.

  • A daily log the officer can keepThey enter start and end time, any new supply and the reading at the end. Run time, quantity at start and fuel used are worked out for them, and the closing balance carries into the next month.
  • Stock and reorder levels per branchSet each branch's tank capacity, reorder level and price per litre. A branch reads Low stock as soon as it drops to its reorder level.
  • One monthly report across branchesDiesel consumed and remaining, month by month for every branch, with spend alongside and an Excel export.
  • Readings that don't add up are flaggedAn entry showing negative consumption, or a reading above tank capacity, is marked so it gets checked rather than buried.

Each branch keeps its own register of generators, with name, code, kVA, model and serial number, and officers record runs for the branch they work at.

Questions

Fleet, plainly answered

Want to see it with your own vehicles and branches? We'll walk you through it on a call.

Do I need fleet management to use MortemCare?

No. Most homes start with case management and invoicing, then add fleet when they're ready. Vehicles and trips sit on the same records as your cases, so nothing needs to be entered twice when you add it.

Can I link a vehicle to a specific case?

Yes. When you assign a hearse, van or family car to a removal, service or burial, the trip is recorded against that case, so you can see which vehicle was used, who was driving and when.

Does MortemCare track vehicles by GPS?

MortemCare isn't a GPS tracker. It keeps the record your team enters: assignments, trips, mileage, fuel and running costs. If you already use a tracking device, you can keep it; MortemCare is where each trip is tied to the family it served.

How does generator and diesel tracking work?

For each generator run, the officer on duty records the start and end time, any new supply and the quantity at the end. MortemCare works out the run time, the quantity at the start and the fuel used, keeps a running balance per branch, and shows consumption, stock and spend on an overview and a monthly report.

Can each branch keep its own generators and diesel log?

Yes. Every branch has its own generators, tank capacity, reorder level and price per litre. Officers record runs for the branch they work at, while managers see every branch side by side.

Can I export the diesel reports?

Yes. The daily log and the monthly report can both be downloaded as Excel files, for your own records or for whoever looks after the generators.
